Workplace Experience Coordinator
We are looking for an energetic, highly-organized, service-oriented, and proactive Workplace Experience Coordinator to ensure the smooth day-to-day operations of our office and create a welcoming, efficient, and engaging workplace environment for our team. You’ll be the face of our office in Quito, helping team members and visitors feel supported while managing essential operational responsibilities.
This is a people-first role that blends office management, event coordination, and compliance oversight to create a workplace that is not only functional but enjoyable.
Responsibilities
- Office Point of Contact: Greet visitors and vendors, answer phone calls, and be the primary point of contact for all in-office needs and inquiries, including space reservations.
- Onboarding Engagement: Welcome new hires on their first day, providing a warm introduction to the office, including a building and workspace tour.
- Travel & Logistics Coordination: Arrange travel logistics such as transportation, flights, and lodging with our travel agency for new hires and team members visiting the office from outside the country.
- Office Supplies & Storage: Order and maintain office supplies inventory, ensuring storage areas are clean and organized, working closely with our maintenance support staff.
- Engaging Experiences & Social Events: Continuously plan, budget and execute unique experiences that foster team engagement and contribute to a positive culture including but not limited to medium to large team-wide in-office events, out-of-office experiences and internal meals like welcome lunches, team lunches and celebration dinners while managing the rotation of top restaurant vendors from our curated list.
- Manage Maintenance Schedule: Oversee and coordinate the cleaning and maintenance calendar in collaboration with our maintenance staff to ensure a clean and comfortable work environment.
- Health, Safety & Compliance: Maintain up-to-date evacuation plans, coordinate emergency drills, and support local health and safety committee meetings and documentation.
- Internal Initiatives: Plan and execute internal initiatives to meet specific requirements that come up or to drive employee engagement in order to foster an inclusive workplace.
- One or two years of experience in office administration, hospitality, or workplace management roles
- Strong interpersonal and communication skills – we are looking for someone who’s friendly, approachable, energetic and professional.
- Excellent organizational and time management abilities
- Comfort juggling multiple responsibilities in a fast-paced environment
- Experience managing vendors, coordinating events, and supporting compliance activities
- Proficient in tools like Microsoft Word, Powerpoint and Excel; Figma experience is a plus
- Ability to create, manage and keep track of budgets
- A positive attitude, solution-oriented mindset, and a genuine interest in making the workplace a great place to be
- Ability to work in-office Monday to Friday
